
Once your account has been enabled to use multi-factor authentication for Office 365, the easiest verification method to use is Microsoft Authenticator as a security token. It's just one click instead of typing in a 6-digit code. And if you travel, you won't incur roaming fees when you use it.

Steps to configure Multi-Factor Authentication (MFA)
Though it may take a moment, you only need to configure once.

Or you can follow the steps below: (Note: For new staff, you must change your password at The Portal beforehand. You cannot login Office 365 services using the initial password.)
- Login Office 365 on a web browser.
- Enter your full email address (e.g. username@eduhk.hk) and click “Next”.
- You will then see the following screen. Click “Next”.
- Choose “Mobile app” as the primary verification media.
- Select “Receive notifications for verification” and click “Set up”.
- When you see the following screen, open the Microsoft Authenticator app on your mobile.
- On your phone, open the Microsoft Authenticator app.
- Click “+” to add an account and choose “Work or school account”.
- Scan the QR code on the computer. (Notes: iPhone users may have to enable the camera in Settings in order to scan.)
- If you can't use your phone camera, you'll have to manually enter the 9 digit code and the URL that shown on your computer (Refer to step 6).
- You will be shown a six-digit code and your account is added.
- Click “Next” on your computer and wait for the configuration to complete.
- Switch back to your computer and click "Done".
- Now wait for the Checking activation status text to finish configuring your phone.
- When it's complete, click "Next" to continue.
- Switch back to your phone and You will then receive a notification on your mobile.
- Click “Approve” on the app as the second step of verification.
- Back on the computer, Complete the setup procedure as instructed on the computer.
- In some apps (such as Outlook, Apple Mail), you can't use a phone to secure your account. Copy and save the password for use with this kind of apps. For details, please refer to Create an app password for Office 365.
- You're good to go!
- From now on, whenever you have a new sign in or add your Office 365 account to an app, you'll open the Authenticator app on your phone and tap Approve.
Note: If you want to use phone call for verification in step 4 above, please choose "Authentication Phone". Choose the correct country code (e.g. Hong Kong +852) and enter your office phone number or mobile number.
